About the position

We are looking to appoint a professional and motivated Councillor Administrative Support Officer who will be responsible for delivering high quality support and assistance to the Councillor of Division 7. You will provide a range of administrative and secretarial support services to facilitate, in a courteous and tactful manner, the efficient and effective organisation of the administrative requirements and commitments of the Councillor. This position requires sound knowledge and previous experience in areas of executive support, office administration, personal assistance, managing budget processes and Workplace Health and Safety.

Key deliverables of the position

  • PA activities for the Councillor.
  • Attending to incoming and outgoing Councillor correspondence, including monitoring and controlling of corporate file movements.
  • Research and coordinate information related to Customer Requests and provide updates to relevant Councillor.
  • Receive and effectively resolve customer enquiries and complaints on behalf of the Councillor.
  • Assist with drafting and preparation of traditional media responses.
  • Drafting, for Councillor Approval, Divisional Newsletter; liaising with Corporate Communications Branch and publisher to approve draft and provide final print approval.
  • Coordinate Councillor appointments and schedules, including acknowledgment for attendance at various functions and meetings.
  • Monitor relevant Councillor monthly budgets.
  • Management of divisional information, including regular audits to ensure the accuracy, quality and compliance.
  • Exercise a high degree of protocol management regarding activities of a sensitive nature.
